Who we are
PlaybookMax is built and operated by Tower Mountain Studios. If you have a question about anything on this page, or want your data removed, email hello@playbookmax.com.
What we collect
Your account
When you sign in with Apple, Google, or an email address, we store your name, email address, and profile photo if you have one. If you sign in with Apple and choose to hide your email, we only ever see the relay address Apple gives us.
What you enter about your team
Coaches build rosters, so the app holds whatever you type into one: player names, jersey numbers, positions, notes you write about a player, and the email addresses and phone numbers of parents and guardians you invite. Most of this is information about minors, entered by an adult. We treat it as sensitive and never sell it, share it for advertising, or use it to build profiles.
What you create
Plays, playbooks, route trees, scouting reports, schedules, team chat messages, game film you upload, clips you cut from it, and photos of playbook pages you scan.
Technical information
Standard server and app diagnostics — device type, app version, error reports, and timestamps — used to keep the service running and fix crashes.
How the app is used
We use Google Analytics for Firebase to see which parts of PlaybookMax coaches actually use — which screens get opened, whether a feature succeeded or failed, and how long it took. This tells us what to fix and what to build next.
It records actions, not content. We log that a play was generated, never the play. We log that film was scanned, never the film. No player name, note, message, roster entry, or family contact detail is ever sent to analytics. Events are tied to your account so we can follow a single coach's path through a feature, and we attach only two coarse labels: your role, and whether you have a subscription.
We do not use this for advertising, we do not share it with advertisers, and the iOS app does not track you across other companies' apps or websites.
What we do with it
- Run the app: store your playbook, sync it across your devices, and show it to the people on your team.
- Generate plays, breakdowns, and coaching notes when you ask for them.
- Find play starts in film you upload, and render clips you share.
- Email the families you invite, using the address you entered for them.
- Handle subscriptions and restore purchases.
- Fix problems and improve the product.
We do not sell personal information, and we do not use your roster, film, or plays to advertise to you or anyone else.
Who else processes it
We use a small number of vendors to actually run the service. They process data on our instructions, under their own terms:
- Google — accounts, database, file storage, and hosting (Firebase and Google Cloud), the Gemini models that generate plays and coaching text, and Google Analytics for Firebase for the usage measurement described above.
- Anthropic — reviews still frames from film to judge whether a play is starting.
- Twilio SendGrid — sends the invitation emails to families.
- RevenueCat and Apple — subscription status and App Store billing.
- Hetzner — a server we operate that hosts our coaching knowledge search.
About the AI features
When you generate a play, ask the coaching staff a question, scan a playbook page, or scan film, the relevant content is sent to the AI provider handling that feature and a result comes back. We send only what the feature needs. We do not train our own models on your data.
Children's information
PlaybookMax is a tool for coaches and other adults. It is not directed at children and we do not knowingly let anyone under 13 create an account.
Information about young players reaches us because a coach or a parent typed it in, not because we collected it from the child. A parent or guardian can ask us to see, correct, or delete anything held about their child by emailing hello@playbookmax.com, and we will act on it without requiring a reason. Coaches are responsible for having permission to enter a player's details and to upload film that a player appears in.
Who can see your team's data
A team's playbook, roster, film, and chat are visible to the people who have joined that team with a code from one of its coaches. Roles limit what each person sees — a parent or family member does not get a coach's view. Nothing about your team is public, and teams cannot see each other.
How long we keep it
We keep your data while your account exists. Delete a play, a clip, or a player and it is removed from the live service; backups age out afterwards. Ask us to delete your account and we will remove your personal information and your teams' content, except anything we have to keep for legal or accounting reasons.
Your choices
- See, correct, or delete your information — in the app, or by emailing us.
- Ask for a copy of what we hold about you.
- Ask us to delete your account entirely.
- Turn off push notifications in your device settings at any time.
Depending on where you live you may have additional rights over your personal information. Ask us and we will honour them.
Security
Data is encrypted in transit and at rest by our hosting providers, and access is restricted by team membership rules enforced on the server rather than in the app. No service can promise perfect security, but we do not collect anything we do not need.
Changes
If this policy changes in a way that matters, we will update the date at the top of this page and tell you in the app before it takes effect.
